We’re looking for a dynamic, detail-obsessed contract Event Coordinator to join our growing team. If you're passionate about creating unforgettable brand experiences and thrive in fast-paced, client-focused environments, this role is for you.

Note: This is a 5–6-month contract position with the potential to transition into a full-time role should an opportunity arise.

Successful candidates will come equipped with:
  • A passion for experiential marketing, with a strong interest in automotive, real estate, and technology industries.
  • Strong organizational skills with the ability to juggle timelines, suppliers, and logistics across multiple events and clients.
  • Excellent communication skills and a client-first approach to managing relationships and day-to-day needs.
Key responsibilities:
  • Support team in planning and execution of events from start to finish — including venue sourcing, supplier coordination, travel logistics, production timelines, and on-site execution.
  • Develop and manage detailed workback schedules, contact reports, and run-of-show documents.
  • Assist with budget tracking, reconciliations, and preparing monthly invoicing documentation.
  • Coordinate asset and inventory management for events (event kits, signage, merchandise, etc.).
  • Liaise with internal teams (accounts, creative, production) to ensure event deliverables are executed on time and on brand.
  • Act as a primary liaison with suppliers and partners to ensure seamless execution on-site.
  • Manage program staffing requirements including on-site training and expense reconciliation.
  • Support on-site execution, including event setup, guest registration, and live troubleshooting.
  • Deliver best-in-class brand experiences that are aligned with campaign strategy and client objectives.
What we are looking for:
  • Post-secondary degree or diploma in Event Management, Marketing, Communications, or a related field.
  • 2+ years of relevant experience in an agency, event production, or brand marketing environment.
  • Experience coordinating brand activations, experiential events, or sponsorship programs.
  • Proven ability to manage multiple tasks and deadlines in a fast-paced setting.
  • Exceptional attention to detail, with a calm and solutions-oriented approach under pressure.
  • Strong interpersonal skills — professional, proactive, and collaborative.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and Mac OS.
  • Bilingual (English and French) is a strong asset.
